PORTAL SETTINGS

LOCATION: Admin, Portal Settings, Daily Reports

  • Comma Separate list of Companies to Include for Daily Report Input

    • Ex: 1,2,3

  • Daily Report Customize Tab

  • Ex: Gen,Sub,Vis,Con,Mat,Equ,Acc,Emp,Act

  • Gen: Info tab, Sub: Subcontractor, Vis: Visitors, Con: Conversations, Mat: Deliveries, Equ: Equipment, Acc: Accidents, Employees, Act: Activity

  • In this field, you can remove or reorder the tabs that appear on your Daily Reports in the portal. If you have created any custom tabs in PM Daily Logs in Vista, you will need to list them in this field for them to show up in the portal. UD tabs will also need at least one ud field on them to show up.

  • Daily Report Rebind User-Defined Dropdowns After Every Click

    • This setting is not recommended unless lookup choices are dependent on other data within the daily report. If you don’t have ud fields that are dependent upon each other you will no need this setting enabled.

  • Daily Report SSRS Report Override (include .rdl in filename)

    • If you have a custom Daily Report SSRS file, include its filename.rdl here.

    • Our SSRS reports are located in the C:\Program Files (x86)\Keystyle Data Solutions\Keystyle Data Solutions\HRIM\BusinessLogic\SSRS” of the keystyle web server

  • Enable Daily Report Submission Feature (Requires UD Field Setup)

    • Must Create udSubmittedBy and udSubmittedOn User Defined Fields on PM Daily Logs for correct functionality.

      • Once the required ud fields are created, go to Admin > Portal Settings > and hit the Refresh Synonyms button. Then once this setting is enabled, users will be able to submit their Daily Reports. Once submitted, the Daily Report will be locked and no further changes can be made through the portal.

      • Once these fields are added correctly, they will show up in the header of the Daily Report.

  • Include Timecard Section on Daily Report Log

    • If this setting is selected, when you view a Daily Report pdf, it will list out the timecard hours for each employee for that day and that job at the bottom.

Filling Out your Daily Report:

LOCATION: Field Tools, Daily Reports

  • On the Daily Reports page, select the Job and Date. Clicking the Continue button will open a new PM Daily Log in Vista.

Info:

On the Info tab, you will see a similar screen to the one shown below. This tab is listing out the weather, attachments, and any additional notes about what happened on this day on the jobsite.

  1. View PDF: By clicking this button, you will download a PDF of the Daily Report.

  2. Copy: By clicking the copy Button, you will be able to copy or clone a previous Daily Report. When you use this, make sure to update the fields that have changed with the correct information.

  3. Submit: Allows you to submit and lock changes to Daily Reports. See Portal Setting: Enable Daily Report Submission Feature (Requires UD Field Setup)

  4. Weather Sync: If your mailing Zip code and Country have been set up on the PM Projects Additional Info tab, then you will be able to pull in the weather information right into your Daily Report by clicking the green cloud button. The blue cloud button will open a new tab to weather.com using the zip code on file so you can view that jobs weather report.

  5. Attachments: Here you can add attachments to your daily report. You can add a file/picture right from your phone or computer.

Subcontractors:

On the Subcontractors tab, you will see a similar screen to the one shown below. This tab is for keeping track of subcontractors that were on the jobsite.

  1. Firm Name: By clicking on this dropdown, you can quickly select a firm from PM Firms which are assigned to this job.

  2. Firm Search: By clicking the blue globe button, you will be able to search for any firm set up in PM Firms and add it to the Daily Report.

  3. Location: This dropdown will enable you to select a location on the jobsite that this firm worked.

  4. Add Location: By clicking on the blue gear button, you will be able to add a new location on the job.

  5. Delete Subcontractor: Clicking the red trashcan icon will delete the subcontractor.

  6. Add Subcontractor: If you would like to add more than one subcontractor to the Daily Report, just click the Add button.

Visitors:

On the Visitors tab, you will see a similar screen to the one shown below. This tab is for keeping track of any visitors to the jobsite.

  1. Visitor: You can enter the name of any visitors to the jobsite.

  2. Description: You can list out what they did while they were visiting.

  3. Time: You can enter in there Arrive Time and Depart Time to the jobsite.

  4. Location: This dropdown will enable you to select a location on the jobsite that this firm worked. By clicking on the blue gear button, you will be able to add a new location on the job.

Conversations:

On the Conversations tab, you will see a similar screen to the one shown below. This tab is for keeping track of conversations that you had with any other firms on the jobsite.

  1. Firm Name: By clicking on this dropdown, you can quickly select a firm from PM Firms which are assigned to this job. By clicking the blue globe button, you will be able to search for any firm set up in PM Firms and add it to the Daily Report.

  2. ContactCode: You can select the contact from PM Firm Contacts.

  3. Description: You can list out a description of the conversations.

Deliveries:

On the Material Deliveries tab, you will see a similar screen to the one shown below. This tab is for keeping track of any materials that were delivered to the jobsite.

  1. FirmNumber: By clicking on this dropdown, you can quickly select a firm from PM Firms which are assigned to this job. By clicking the blue globe button, you will be able to search for any firm set up in PM Firms and add it to the Daily Report.

  2. Location: You can select the location of the Jobsite that received the materials or you can add a new location using the gear icon.

  3. DelTicket: You can enter the delivery ticket number here.

  4. PO: You can look up the open Purchase Order that is related to the material received.

  5. Materials: You can select the material you received from HQ Materials or type it in if it’s not set up.

  6. Arrive Time: Enter what time the delivery arrived.

Equipment:

On the Equipment tab, you will see a similar screen to the one shown below. This tab is for keeping track of any equipment that were used on the jobsite.

  1. Equipment: You can look up the equipment used on the site from EM Equipment by entering the equipment number or name.

  2. FirmNumber: By clicking on this dropdown, you can quickly select a firm from PM Firms which are assigned to this job. By clicking the blue globe button, you will be able to search for any firm set up in PM Firms and add it to the Daily Report.

  3. Quantity: Enter the amount used for the equipment.

  4. Location: Enter where the equipment was used on the jobsite.

  5. UM: Select the Unit Of Measure for the equipment from HQ Units of Measure.

  6. Description: Describe how the equipment was used.

Accidents:

On the Accidents tab, you will see a similar screen to the one shown below. This tab is for keeping track of any accidents that happened on the jobsite.

  1. FirmNumber: By clicking on this dropdown, you can quickly select a firm from PM Firms which are assigned to this job. By clicking the blue globe button, you will be able to search for any firm set up in PM Firms and add it to the Daily Report.

  2. Location: Enter where the equipment was used on the jobsite.

  3. ArriveTime: Enter what time the accident occurred.

  4. Description: Describe in detail how the accident occurred.

  5. Accident Description: Who was hurt and how did it happen?

Employee:

On the Employee tab, you will see a similar screen to the one shown below. This tab is for keeping track of who worked on the jobsite.

NOTE: If you have turned on the setting “Include Timecard Section on Daily Report Log” you may decide to hide this tab.

  1. ContactCode: Select an employee from PM Firm Contacts. You will need your companies set up in PM Firms, your employees set up in PM Firm Contacts, and you will need to make sure that you have the Our Firm field on PM Company Parameters filled out. It will also help to have your Project Our Firm field on the PM Projects > PM Info tab filled in.

NOTE: The PM Firm Contacts number may not be the same as the PR Employee Number. Also, this does not enter time into PR Timecard Entry.

  1. CatStatus (Worked): Check this box if the employee worked on the job today.

  2. Location: Enter where the equipment was used on the jobsite.

  3. ArriveTime: When did the employee start working?

  4. DepartTime: When did the employee stop working?

  5. Description: What did the employee do today?

Activity:

On the Activity tab, you will see a similar screen to the one shown below. This tab is for keeping track of any activities that occurred on the jobsite.

  1. Description: Describe the activity that took place.

  2. Location: Select where the activity took place.

Custom Fields:

You can add any number of custom fields and custom tabs to the Daily Report starting with Version 1.11 of the portal. In order for a custom tab to appear in Daily Reports, it will need to be listed in the “Daily Report Customize Tab” portal setting.

The order that ud fields will show in the portal can be set by the input order.
