If you'd like to include W-2's not processed in Viewpoint, you can attach the document to the PR Employee record in Viewpoint. You might need to set up a new Attachment Type group for W-2's.
The document name shown in the portal will pull from the Attachment Description that you specify when attaching the document.
These documents will be shown in the earnings module for employees once the Attachment Type ID# is entered into the Attachment TypeID from Manually Generated W-2's attached to employees.
When filling out the attachment type for W-2's make sure you fill in the months to retain column for however many month you want it to be available.
If you plan to keep this attachment type secured, you will need to follow theses steps:
- Go to VA Attachment Type Security
- Add the VA Security Groups you want to give access to this attachment
- If you don't have a group set up, you will need to create one and then add this group to the attachment type security.
- Make sure to add KDSUser as a user on one of the secuirty groups added to attachment type. This will give the portal access to view that document.
You will then need to go back to the portal and fill this setting in with the Attachment Type ID number. This setting is in Admin > Portal Settings > View My Earnings History:
These files will appear along with any years where W-2 data exists through native processing in Viewpoint. For years processed in Viewpoint, the data will be loaded into a Crystal report and returned as a PDF, so you won’t have to keep attaching W-2 documents to your employee records.
If you would like to attach all of the W-2's to your PR Employee records and then prevent them from being visible in the portal, you will need to remove W2 from this portal setting until you want your employees to be able to access them.
