ADMINISTRATION / SECURITY

NEW PORTAL SETTINGS: (Portal Settings, Security/Login)

  • Single Sign-on URL:

    • If you have an “identity provider” you can now include the portal in that sign-in. For this setting enter the URL for signing on.

    • Currently requires additional Set-up with Keystyle

  • Url to redirect to if SSO authentication fails

    • If your user is unable to log in (bad password) what website should they be redirected to?

NEW FEATURES:

  • Security Admin: You can now assign a Security Admin. This user will have access to the User Access Page. They will be able to unlock users and assign modules, but they will not be able to assign admins.

    • To Assign: Go to Admin, Portal Settings, Manage Approvers

  • Re-naming in Manage Approvers: We have changed the following headings to better reflect their function:

    • “Timecard Dash” is now “Timecard Admin”: Assigning a user as a Timecard Admin gives them access to:

      • Timecard Dashboard [Office Tools dropdown]

      • Timecard Settings, Manage Crew Layouts, and Manage Crew Templates [Admin dropdown] for the PR Company and PR Group assigned to them.

    • “Vacation Dash” is now “Vacation Admin”: Assigning a user as a Vacation Admin gives them access to the Vacation Dashboard for that Payroll Company and Group assigned to them.

NEW PORTAL SETTINGS: (LOCATION: Admin, Portal Settings, Review AP Invoices)

  • Disable Line type Change on AP items: If you do not want your users to be able to change the line type on edit turn on this setting

NEW FEATURES:

  • Hold Codes: If you have put a hold code on your Invoice it will now appear in the portal.

    • NOTE: Users can still approve the invoice while the hold code is on.

BUG FIXES:

  • Missing Data: If line items are missing data, they will now show up as red. The Approval button will not be available until the missing data is filled in.

  • Added support for Tax items

  • Corrected Retainage and Mic amount calculations

  • Added a detail view of cost breakdown

NEW PORTAL SETTINGS: (LOCATION: Admin, Portal Settings, Update My Benefits)

  • Default effective date for benefit requests: We have added an Effective Date to the Benefit approval process. This setting allows you to set the default Effective Date.

  • Input Settings Per Benefit Type (Each benefit type is separated by semi-colon) where 1= yes and 0= no CODE: [A,F,P - Input mode (see helper text)],[0,1 - Read Only],[0,1 - Attachments Allowed],[0,1 - Dependents Shown],[0,1 -Beneficiaries Shown],[0,1 - Allow Free Input of Beneficiary Names] EXAMPLE: Med:A,0,1,1,0,0;Dental:F,0,1,1,0,0,

    • Benefit Type should be the same as the VA Custom Field Combo Boxes name

    • Input Mode: A = Option Amount, F = Fixed $, P = % of Gross Salary

NEW FEATURES/FEATURE IMPROVEMENTS:

  • Improved Benefit Decline Behavior:

    • When a benefit is approved, declined, or no change during an open enrollment period a new line in HR Resource Employment History in Viewpoint under History Type, Employment History Code Benefit.

      • If you have a different name for History code (See HR Company Parameters Info Tab) it will fall under the override name

    • This will also appear in the HR Resource Master in the Employment History Tab

NEW FEATURES/FEATURE IMPROVEMENTS:

  • View PO History: (Under Field Tools dropdown)

    • Use this feature to search and filter for your PO’s. Click the magnifier to see your PO Details and the Blue Icon to download a PDF of your PO.

  • PO Receiving: You can now use the portal to do your Purchase Order Receiving.

TIME OFF

NEW FEATURES/FEATURE IMPROVEMENTS:

  • Time-Off Dashboard Calendar: The Timecard Dashboard now allows Managers and Time-Off Admin to view a calendar of the requests any month.

  • Time-Off Dashboard Approval: Approval no longer shows in “Manager Approval” instead they now show in “Time-Off Dashboard”

    • Select “Review” Button and the following window will appear:

    • NOTE: Both Manager AND Vacation Admin are able to approve, Reject, Cancel or Delete the request.

  • Re-Set to Pending: Canceled, Deleted and Approved requests can now be “Re-Set to Pending” so that the request can be re-submitted for approval or rejection.

    • Select “Details” button on the request and the following pop-up will appear:

  • Timecard Dashboard now has a “Show All Unapproved” button

TIMECARD

NEW PORTAL SETTINGS: (LOCATION: Admin, Portal Settings, TXT)

  • Disable auto selection of default crew template

        • When users go into Crew timecard, Pay period Ending and Template will appear blank requiring the user to select the pay period and Template before they can enter time.

  • Reason Codes To Include for Job Approval Rejection (Leave Blank to Include All):

    • You now can include your HQ Reason Codes when you reject a timecard in Job Approval

  • Partial Submit for Crew Cards: In previous versions crew cards with multiple employees on each card could only be submitted and unsubmitted together. We now support the ability to submit by employee on a multiple employee card. 

               

NEW FEATURES/FEATURE IMPROVEMENTS:

  • Default Line Type: If you use Mechanic, Job, and Service Cards in the Standard Timecard you can change the Default when users go to enter their timecard.

    • TO SET-UP: Go to Admin, Timecard Settings and set-up for each payroll company and group combination.

  • Job Approval: Job Approval now has its own page with improved abilities! Project managers can now approve and modify time charged to their jobs (if you let them).

    • To Turn On: [Admin -> Portal Settings -> Timecard Entry -> “ Enable Job Timecard Approval“]

    • Assigned in Viewpoint [Job Cost -> Programs -> JC Job Master] Reviewer groups should be set as the Timesheet Reviewer, however if no Timesheet Reviewer Group is entered the portal will look at the invoice reviewer group.

    • Settings: To change the visibility and the ability to edit columns in Job Approval go to Admin -> Timecard Settings and you will see a new column called “Job Time Approval Visibility”

This allows you to determine which fields your Job Approvers can see or edit in Job Approval
