GENERAL PORTAL IMPROVEMENTS

Updated User Access Page

  • Improved Sorting: Sorting is no longer just for what is on the page but for entire User Access or within search/filter criteria.

  • Added last log-in column: You now can sort employees by the date of their last login by clicking on the column heading “Last Login”

  • Easier manager and leave reviewer selection: To edit an employee’s select the edit button and Update Manager/Update Reviewer modal will appear. This will improve loading time and sorting.

Improvements in Forgot Password: Forgot Password now requires re-verification of Pin (aka last four of your SSN/SIN) after receiving email link

New Features/Feature Improvements:

  • Step 4 now shows your current subtotals AND your requested

  • Confirm Benefits Pop-up: Once a user finishes step 4 they will select the button “Finalize & Confirm” which will prompt the below pop-up with a signature block.

  • Improved behavior in Step 3 declines: Declines are removed from step 3 subtotal

  • Added employee search in Benefit Approval Page.

  • Improved behavior with Free Input Beneficiaries

New Features/Feature Improvements:

  • Adding Dependent Fields in Personal Info Settings: To improve visibility of Personal Info fields and Dependent fields, this page has now been split! [LOCATION: Admin, Personal Info Settings]

  • Missing documentation notice will no longer appear if portal setting “New dependents require attachment documentation” is not checked [PORTAL SETTING LOCATION: Admin, Portal Settings, Dependent Requests]

New Portal Settings:

  • Edit Header Text

    • This text will appear at the top of your Personal Info Page, allowing you to give your users additional direction on this page.

  • Require Attachment for W-4 Updates

    • If checked, attachments will be required in order to submit withholdings updates through the portal.

NOTE: This is defaulted to on.

New Features/Feature Improvements:

  • Collapsible Sections

  • Emergency Contacts!! Employees can now see and edit their emergency contacts! [LOCATION: Employee Tools, Update Info]

Note: Emergency contacts do not go through an approval process, a user can edit and/or delete emergency contacts at any time.

  • New Manage your Payroll Withholding Section!

  • Review and Approve on W4 Approvals: To approve W4 changes you are now able to see a pop-up with the changes, the attachments as well as the signature. You are also able to add additional notes to this approval.

NOTE: W4 Attachments and Withholding Update Confirmation are attached to the Employee in the PR Employee file

  • Improved Sorting on Personal Info Approval Page.

New Portal Settings:

  • Default SM Cost Type if Not shown

    • If you don’t show SM cost type on the timecard you can set a default using this portal setting.

New Features & Feature Improvements:

GENERAL TIMECARD CHANGES/UPDATES

  • Batch Hours is now labeled as Card Hours in the timecard Dashboard and when enabled in Manager Approval.

REMINDER: Total hours reflects a user’s hours for the entire pay period

  • Timecard Settings headers now float as you scroll (making it easier to make changes to fields that may not be on your standard timecard) [LOCATION: Admin, Timecard Settings]

  • Rejection Reason and Notes now appear in Job Review History in Timecard Dashboard

  • Users who are Job Approvers no longer need to have crew enabled on user access to access Job Approval.

STANDARD TIMECARD

  • View Daily Hours (standard Timecard)

  • Certified checkbox is now larger

  • Reviewer Actions are in simplified view

  • Improved handling for Service Management Timecard Lines: corrects the non-billable issue and job based work order cost type assignment.

  • You can now create a default Line Type for standard timecards [LOCATION: Admin, Timecard Settings]

CREW TIMECARD

  • When portal locks [based on portal setting OR manual lock] Crew cards will now lock.

  • Improved read-only visibility on crew timecard

  • Improved employee number sort in crew timecard

  • Improvements in EM Co & Equipment defaults

  • iPad/Tablet improvements! (8.3)

    • Fields pop-up to allow better & faster selection

    • When typing in Hours, the keyboard defaults to numbers instead of Alpha

    • Types!

    • Simpler view, select Home Button instead of Navigation Bar

    • Other general style improvements.

  • Time-Off Dashboard’s Calendar grid only shows employees with leave requested, approved or rejected.

  • Approval Email for Time-Off requests now specifies full day or partial day.

  • Allow Amount to be edited in AP Invoice Header

    • By turning on this feature employees can edit the invoice total

  • Allow Hold Code to be edited in AP Invoice Review

    • By turning on this feature employees can edit or add a hold code to the Invoice

New Features/Feature Improvements:

  • Inactive phases and hard closed jobs are now filtered from the AP Lookups

  • Edit button moved to the left (in order to help mobile editing).
