Timecard Email

  • Submitting a timecard

    • Frequency:  Email sent to a manager as soon as the timecard is submitted.

    • Configuration:  Enabled via portal setting
    • Who is the email sent to: Managers of the submitter receive an email. Submitter managers can be reviewed on the timecard dashboard by clicking the blue arrow and selecting reviewers.

  • Unsubmit

    • Frequency:  Email sent to a manager as soon as the timecard is unsubmitted

    • Configuration:  Enabled via portal setting
    • Who is the email sent to: Managers of the submitter receive an email.

  • Reminder Email

    • Frequency: Email sent to individuals who have not submitted a timecard in the period. This email goes out once a pay period. The timing is dependent on the Unsubmitted Time Card Reminder Timing portal setting. This can also be manually triggered form the Timecard Dashboard > Batch Action > Send Email Reminder

    • Configuration:  Enabled via portal setting
    • Who is the email sent to: Employees who have not submitted a timecard will receive the email. The full list can be reviewed on the Timecard Dashboard > Bach Actions > Send Reminder.

Time-Off

  • Submitting a time-off request

    • Frequency:  Manager will only receive the manager daily approval email once a day.

    • Who is the email sent to: The email is sent to the manager of the employee. The employee can see his/her manager on the timeoff request screen.

    • See Manager Daily Approval for example.

  • Time-off request approved/Rejected/Cancelled

    • Frequency: Email is sent as soon as an action is taken.

    • Who is the email sent to: Email goes to requester, approver, and vacation admins with the action and comments.

Personal Info Email

  • Submitting Changes

    • Frequency: Email sent to a manager as soon as the request is submitted.

    • Configuration:  Always enabled
    • Who is the email sent to:  Email goes to the submitter based on the portal setting (Employee email or VA User Profile email).

  • Request Approved/Rejected

    • Frequency: Email sent to requester upon Approval/Rejection

    • Configuration:  Always enabled
    • Who is the email sent to:  Email goes to the submitter based on the portal setting (Employee email or VA User Profile email).

  • Request Approved

    • Frequency: Email sent to a manager as soon as the request is submitted.

    • Configuration:  Always enabled
    • Who is the email sent to:  Email goes to the submitter based on the portal setting (Employee email or VA User Profile email).  

Other Email

  • Manager Daily Approval

    • Frequency: Email goes out to notify manager if there are items pending approval.  These items include time-off requests, timecard approvals, and job time approvals.  This email will go out once a day until the manager takes action on the items.

    • Configuration:  Enabled via portal setting
    • Who is the email sent to: Employees who have not submitted a timecard will receive the email. The full list can be reviewed on the Timecard Dashboard > Bach Actions > Send Reminder.
