GENERAL PORTAL IMPROVEMENTS

  • Improved handling on Manage Approve Employee dropdown

  • Large Size (in Pixels) of an Image Side Uploaded to the Portal (Portal Setting) : When uploading a picture into a module if the picture is very large, this setting will make it smaller, allowing it to be a reasonable size when uploaded

    • LOCATION: Admin, Portal Settings, Administration/Initial Setup

    • Must be 600 or larger

  • MANAGE APPROVERS” PAGE RE-NAMED TO “ADMIN ROLES”: The Manage Approvers page and dropdown has been re-named to Admin Roles to better identify the page’s function.

  • Login Page Helping Text (Portal Setting) : You can now add additional text on the Need Login help page.

    • LOCATION: Admin, Portal Settings, Security/Log-in

MAIL LOG!

This is a brand new feature for System Admin and Security Admin that allows them to see all emails that are sent from the portal.

If the email fails you can see why it failed.

    • To apply this to your bulletins select “Enabled Attachment in Page” in Edit Bulletin

  • Benefits Assignments now includes an age grouping: When you are assigning a benefits group you can now assign by an age group. If a user ages out of one benefit group they will be inherited into the next.

    • To assign a benefits group go to Office Tools, Manage Benefit Assignments. You must be a Personal Info Admin in order to access this page.

  • Email Enrollment Reminder: From the Benefits Dashboard a Personal Info Admin can send emails to all employees that have an open window and have not completed step 4.

  • Benefit Export Summary!!: The Personal Info Admin can now export one pdf that combines all step 4 assignments and signatures into one pdf!

    • LOCATION: Office Tools, Benefits Dashboard, Batch Action

  • INDIVIDUAL BENEFIT SUMMARY REPORT: The export summary can also be pulled individually by selecting the Action Button on the individual employee.

    • NOTE: This only appears after all elections are approved.

    • LOCATION: Office Tools, Benefit Dashboard, Action button next to employee

  • Improved handling for % and $ signs in user review page.

  • Improved handling for beneficiaries and dependents

  • Updated option descriptions!! Benefit Code option descriptions now pull from the Benefit Option Tab on the Benefit Code.

    • IMPORTANT NOTE:If you previously used the user database table “Benefit Options” to name your benefit options the installer will pull your descriptions to the Benefit tab!! This will only happen if the descriptions in the Benefit options tab on the benefit code has the value “System Generated”. If you have your own descriptions in the Benefit Options tab they will not be affected.

  • Frequency Labels for My Contribution and Employer Cost can be overridden!! If you want to change they frequency code descriptions simply create the following ud fields on HR Benefit codes:

    • udEmployerUM

    • udEmployeeUM

Once created simply write in your new descriptions and the portal will use these instead of the Frequency Code Descriptions.

NOTE: UD fields are created in VA Custom Fields Wizard in Vista.

  • Benefit Test Mode (Only Benefit Access to Admins): (Portal Setting)

    • While you are still setting-up your Benefits turn on this setting to allow the Personal Info Admin access to test Benefits without other users seeing “Manage My Benefits”

    • NOTE: Must have “Enable Benefits Functionality” turned on.

  • Date For Effective Benefit Group Age Filtering: (Portal Setting)

    • This setting allows you to set the effective date for establishing the age groupings for benefit eligibility by Benefit Grouping. IE – their age as of this date.

  • Ability to have conditional benefit codes: We have added two new portal settings to allow you to add conditional benefit codes:

    • Dependent Benefit Codes – Disabled [Benefit CodeA:Benefit CodeB]) (Portal Setting)

      • When the Benefit Code A is selected the Benefit Code B is disabled. Colon between linked benefit codes, semi colon between coupled benefit codes

    • Dependent Benefit Codes – Enabled ([Benefit CodeC];Benefit CodeD]) (Portal Setting)

      • When Benefit Code C is selected, Benefit Code D appears. Colon between linked benefit codes, semi colon between coupled benefit codes

  • Email changes!

    • When an employee requests a life event an email is sent to the Personal Info Admin

    • The Personal Info Admin will receive an email for pending approval

    • Users receive email when windows are create/ Requested qualifying event is approved

    • Users receive rejection emails and Approval emails (one email)

NOTE: Personal Info Admin is set-up in Admin, Admin Settings.

  • Improved Dependent handling in Approval.

  • Approvals now have counts for Benefit Requests and Dependent Requests in the Approval Dropdown

DEPENDENTS:

  • UD ComboBox Name to bind dependent relationship types (i.e. udRelationTypes) (Portal Setting)

    • When users enter dependents you can add a UD Combo Box to restrict the choices a user can make for their dependent relationship. Simply enter the name of the UD Combo Box in this setting and the portal will pull in your combo box selections.

TIMECARD

OVERALL

  • Moving Employee Time to Separate Batch!!! If you ever need to take a user’s time and move it to another batch (ex: for term check processing) this new setting allows you to select a user’s time from the timecard dashboard and then move the hours to another batch.

  • Auto-select Employee Certified Flag Based on Job (Portal Setting)

    • When a job is certified (shown or not shown on the timecard) the portal will auto select certified on the timecard line in Vista. NOTE: If show in the timecard make the new line behavior “Employee Default”

  • Clone Only Pay Sequence 1 Timecard Lines? (Portal Setting)

    • The portal only enters into pay sequence 1, if you enter time in other sequences you may want to turn on this setting in order to restrict cloning to just sequence 1.

  • Dashboard – Column Label for Extra Earn Code Summary Column (Portal Setting)

    • This portal setting lets you change the name of the Extra Earn Code Summary column (which allows you to see any earn codes chosen in portal setting “Dashboard – Earn Codes to Show in Extra Column…”).

  • Dashboard – Earn Codes to Exclude from Leave Audit (Portal Setting)

    • The Leave Audit Column will show all earn codes that are linked to a Leave code with usage as well as whether or not it was approved. This setting allows you to remove certain earn codes from interacting with this column.

    • Comma Separated

  • Dashboard – Earn Codes to Show in Extra Column on Timecard Dashboard (Portal Setting)

    • This column will be visible if earn codes are filled in this setting.

    • Comma separated for multiple codes.

  • Dashboard – Show Leave Audit Column (Portal Setting)

    • The leave audit column will show you if leave entered in a timecard was approved or if approved time was entered. If you uncheck this setting the column will no longer appear in the Timecard Dashboard.

    • Only Earn codes linked with Leave Codes with usage will appear in the Leave Audit Column

  • Limit Unsubmitted Notifications to Only Those with Timecard Access (Portal Setting)

    • The portal will email users if their timecard is unsubmitted. If you do not want users who have not been assigned timecards or crew timecards to get this notification turn on this setting.

  • Overtime Pay Types for SM Timecard Entry Totals (Portal Setting)

    • Similar to the Overtime Earn Code setting, this setting allows you to count overtime in the timecard and the timecard dashboard (you will still want to run auto overtime).

  • Treat PR Group Security / PR Group Connect as Approvers (Portal Setting)

    • This setting allows the PR Group Connect setting to approve timecards

  • FINALIZE AND APPROVE IN JOB APPROVAL: In Job Approval the “Finalize and Approve” button has been made darker in order to improve its visibility.

  • Improved SM Co default handling: SM Co now pulls from Technician’s SM Co when new line behavior is set to employee default in Timecard Settings.

  • Back Button Added to Manage Employee Groups when accessed from Manage Timecard Roles

  • Improved Behavior on in Manage Approvers when deleting Administrators.

  • Mechanic Cards can save without equipment

  • Improved new line behavior on large look-up

  • Improved Usage Unit behavior

  • Job required feature is now set-up in Timecard Settings: The job required feature has been moved to Timecard Settings (Admin, Timecard Settings) so you can set this requirement by each payroll group.

  • Improved SM handling on Safety Net

  • Updated Send Email Reminder Page: Before you send a manual timecard reminder you will see who it will go out to.

    • The “Ignore daily email limit” allows you to send your reminder even if they have already been notified that day that they still have items remaining.

STANDARD TIMECARD

  • Attachments are now added to the Review and Approve pages

NOTE: Attachments in Timecards are limited to just the standard timecard.

  • Standard Hours are now shown at the top of the standard timecard

CREW TIMECARD

  • Improved behavior on Crew Card Signature Submission: When signatures are enabled and only one user is on the card the portal no longer requires the user to select the employee’s name from Employee dropdown at the top (as it would with multiple users on the same card).

  • Improved New line behavior in crew timecard

  • The Pay Period now says “Pay Period Ending” at the top of the page in crew

  • Expense Totals in Crew Timecard: When Expenses are entered in a crew card they will now total at the top of the page (similar to how they total on the standard Timecard).

  • Crew Timecard Training Video Link (Portal Setting)

    • Similar to the Timecard Training video link (which only appears on the standard timecard) when a link is added to this field a “?” will appear on the top of the crew card page so users may access a training video

TIME-OFF

  • Ignore Manager in User Access from Approval (Portal Setting)

    • When turned on a user who is set-up as a Manager (meaning they can approve timecards for employees) they will be ignored for Time-Off Approvals.

NOTE: A Manager role can be set-up in User Access, Manage Timecard Roles, and in Viewpoint's Timesheet reviewer groups when applied to the PR Employee profile.

  • Time-off Dashboard now has enhanced search

  • Improved Day handling

  • Improved behavior with Time-off admins and entering requests: Time-Off Admins can now enter requests on behalf of the user without the “Enable Proxy TimeOff Approvers” setting turned on. The proxy portal setting will now only applies to the manager.

  • Available Balance Added to request review

  • Improved partial day requests in Time-Off Dashboard

  • Requester Notes new look on the Time-Off Dashboard

  • Canceled requests no longer show up in the Time-off Dashboard calendar

  • Training Export to PDF’s: Users are able to Export their Training History to a PDF and/or and Excel

  • Define the name of the field used for date expiration (Portal Setting)

  • Future Positions: When a user click’s on My Career Path they can also select on the next position.

  • Description field added to Employee tab

  • Improved Date and Time handling : Date and time are now linked to Job Location instead of Viewpoint Server location

  • Include Timecard Section on Daily Report Log (Portal Setting)

    • If instead of entering the time in the Daily Log for those on site AND in the timecard, this feature will allow you to pull in the time in the printed daily report from the time entered in the timecard!

    • This will pull in time if it is saved in the portal/in PR Timecard Entry for the job in question.

    • *If you turn on this feature it might be helpful to remove the employee tab (see portal setting ‘Daily Report Customize Tab’) to make it easier for users.
